How we collect, use, and protect personal information about parents, athletes, and users of the Volleybox mobile app.

Who We Are

Volleybox Sports Centre (“Volleybox”, “we”, “us”) operates a youth volleyball training facility in Burnaby, British Columbia. This policy applies to volleybox.ca, the Volleybox mobile app, and all related services. We are the data controller for the personal information described below.

Information We Collect

From parents and guardians

Name, email address, phone number, mailing address, and payment information provided at registration. We also store records of the programs you register your child for and your communications with us.

From athletes (minors)

Name, birth year, gender, school grade, evaluation level, attendance records, coach evaluation notes, and optional photo (headshot) — all provided by the parent or guardian. We do not collect contact information directly from minors.

From mobile app users

When you sign in to the Volleybox app, we create an anonymous account identifier and link it to your family record using the 6-digit code shown on your volleybox.ca/account page. If you allow push notifications, we store the push token to send you schedule and chat updates. We do not collect device contacts, photos, location, or any data outside the app.

How We Use Your Information

  • To register athletes for programs and process payments
  • To send confirmations, receipts, schedule changes, and program updates
  • To run programs safely (attendance, coach communication, emergency contact)
  • To track athlete development through coach evaluations
  • To send marketing emails about future programs (you can unsubscribe at any time via the link in any marketing email)

Children’s Privacy

Volleybox programs serve children. All information about minors is collected from a parent or legal guardian at registration, not from the child directly. We do not knowingly collect personal information from any child without parental consent.

The mobile app does not allow children to create accounts on their own. Sign-in requires a 6-digit family code that is only visible to the parent on their volleybox.ca account page. If a parent provides this code to their child, the parent remains responsible for the child’s use of the app.

Service Providers

We use the following third-party services to operate Volleybox. Each receives only the information necessary to perform its function:

Stripe

Payment processing. Card details are entered directly on Stripe-hosted forms and never reach our servers.

Supabase

Database and authentication. Your registration data and app account are stored on Supabase infrastructure (data hosted in the United States).

Google (Gmail)

Transactional and marketing email delivery via Gmail.

Apple Push Notification Service

Delivery of push notifications to the Volleybox app, if you have opted in.

We do not sell, rent, or trade personal information to any third party for marketing purposes.

Data Retention

We retain registration and program data while an athlete is active in our programs and for a reasonable period afterward to support returning families. Financial records are retained for the period required by Canadian tax and accounting law (currently seven years). You may request deletion of your data at any time, subject to those legal retention requirements.

Your Rights

Under British Columbia’s Personal Information Protection Act (PIPA) and Canada’s federal PIPEDA, you have the right to:

  • Access the personal information we hold about you or your child
  • Correct any inaccurate information
  • Request deletion of your information, subject to legal retention requirements
  • Withdraw consent for marketing communications at any time
  • Delete your mobile app account by signing out and emailing us to remove the linked record

Security

We use industry-standard safeguards including HTTPS encryption in transit, encrypted storage at rest, role-based access controls, and audit logging. No system is perfectly secure; if a breach affecting your information occurs, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

Changes to This Policy

We may update this policy from time to time. Material changes will be communicated by email to registered families and noted at the top of this page.
